Oral & Poster Abstract Submission

The WCET® and ASCN-UK 2024 Joint Congress Organising Committee is now inviting abstract submissions for both oral and poster presentations.

Submission Deadlines

  • Online submission opens: Monday, 09 October 2023

  • Closing date for Submissions: Tuesday, 13 February 2024 at 11:59 PM EST (New York, United States) - No additional abstracts are being accepted at this time.

  • Abstract notification of acceptance: Monday, 13 May 2024

The abstract length must be a minimum of 200 words and a maximum of 300 words, anything more than 300 words will not be reviewed. Abstract titles should be short, but informative, indicating key points. Supplemental materials (photos, articles, or reports) are prohibited. During submission, you will be asked to indicate your preference of presentation (oral/poster), if the work has been presented before, and any conflict of interest must be given. The primary/submitting author will receive an email message confirming receipt of the abstract and must keep co-authors informed and updated. A maximum amount of six (6) authors may be included in each abstract. There is no limit to the amount of abstracts that an individual can submit.

Copyright Policy: All presented work must be the author’s original work, reviews of copyrighted work must be appropriately referenced, plagiarism is viewed as serious misconduct and will be dealt with appropriately, and copyright laws must not be violated. Visuals shown must have informed consent and figures/graphics/photographs need written permission from the copyright owner; this is the sole responsibility of the presenting author.

 Submission Policy: 

  • Abstracts may not be edited or updated after final submission.

  • Your abstract has not been successfully submitted until you receive a confirmation email; if you do not receive an email please contact the Congress Organiser at congressliaison@wcetn.org.

  • Your final presentation must be based on your abstract submission; this cannot be changed once submitted.

  • All authors named must have given permission to be named prior to submission; this is the sole responsibility of the presenting author.

  • The named presenting author must be the presenter.

  • All human and animal research should have been approved by the appropriate ethics committee.

Conflict of Interest: All visuals shown must have informed consent. Speakers must declare conflict of interest before starting their presentations.

Language: The congress will be presented in English. All abstracts must be submitted in English.

Publication: By submitting an abstract you are giving WCET® ASCN-UK permission to print/publish your abstract in the Congress materials and organizational publications, etc.

Registration: Please register for the Congress before 1 September 2024, to prevent your abstract from being cancelled and to ensure it is published into the WCET® - ASCN UK 2024 Joint Congress programme book (digital or print).

Cancellation or Withdrawal of Abstract: If you need to withdraw your accepted abstract, please inform the Joint Congress Organiser at congressliaison@wcetn.org as soon as possible.

Depository of Presentation for Oral Abstract Submissions: Please send us your presentation by 13 September 2024 for us to collate it into the master drive, and kindly also carry your presentation on your USB drives. You can also submit your presentation a day before your presentation date in our speaker-ready room.

Duration for Oral Abstract Submissions: Oral abstract presentation time is 10 minutes; we would advise you to prepare your presentation slides for 8 minutes. The presentation must be presented in the English language.

Poster Display Guidelines for Poster Abstract Submissions

  • Posters will be displayed on panel boards 2.5 meters high and 0.95 meters wide; you are advised to design/print your poster on an A0 size in portrait layout.

  • Posters should be designed, such that titles, legends, graphs, and illustrations can be easily read from a distance of 1.5 meters.

  • Please avoid preparing posters that are too heavy for mounting.

  • Double-sided sticky tapes for mounting will be provided.

  • Posters must be in English.

  • All visuals shown must have informed consent. Speakers must declare conflict of interest before starting their presentations.
